What we collect and why

Scholar Gateway Limited (“Scholar Gateway”, “we”) collects personal information — such as names, contact details, and academic information — solely to provide and administer our tutoring services, including registration, scheduling, invoicing and communication with students and parents.

Who we share it with

We do not sell personal data. Information is shared only with the staff and tutors who need it to deliver lessons, and is retained only as long as necessary for the purposes above or as required by law.

CCTV and lesson recordings

CCTV operates on our premises and lessons may be observed or recorded for safety and quality purposes, as set out in our Policies and Procedures.

What we record when you browse our website

When you visit our public website we record, for each page you open: the page address and title, the time you arrived and how long the page stayed open, the website or advertisement that sent you (the site's name only, never the full address you came from), your country, the kind of device you are using, your language, and your IP address.

We also place a random identifier in your browser so we can tell that several pages were opened in one visit. It is not linked to your name, your email address or any account.

If your browser sends a “Do Not Track” signal, we record nothing at all.

What we record when you are signed in

When you sign in to Scholar Gateway — as a member of staff, a tutor, a parent or a student — we additionally record which screens of the system you open, when, for how long, and the IP address you opened them from, together with your name. We do this to keep the system secure, to investigate problems and misuse, and to understand which parts of the system are actually used.

This record covers which screen was opened. It does not record what you typed, read or changed; changes to records are kept separately in our audit log, which has its own retention rules.

When you sign in, or try to

Each time anyone signs in to Scholar Gateway — successfully or not — we record the email address typed, the time, whether it worked and why not, your IP address, your country and the browser you used. We never record the password itself, in any form. We do this to detect and stop attempts to break into accounts.

Who can see these records

Only our Global and Regional Directors. Tutors cannot see other tutors' or families' activity. Branch staff cannot see any of it.

How long we keep these records

90 days, after which they are deleted automatically. Our separate audit log of changes to records is kept for longer.

Your rights

Under Hong Kong's Personal Data (Privacy) Ordinance (Cap. 486) you may ask us what personal data we hold about you, ask us to correct it, and ask us to delete it. To do so, or for any privacy question, write to office@scholar-gateway.com.
