Policies & Procedures

These policies apply to all students and parents enrolling with Scholar Gateway. By checking the agreement box during registration, you acknowledge that you have read and understood them in their entirety and agree to abide by them.

  1. All materials used in lessons by Scholar Gateway teachers, such as worksheets, textbook copies, and other documents, whether distributed to students as part of an all-inclusive lesson fee or purchased separately, are the valuable intellectual property of Scholar Gateway Limited and may not be photographed, copied, scanned, reproduced, distributed, or shared with other parties without the prior written consent of Scholar Gateway.

  2. Scholar Gateway teachers may only teach and provide educational services at a Scholar Gateway centre. Students, parents, or guardians are not permitted to seek or negotiate private agreements with Scholar Gateway teachers for tuition, nor may they contact teachers directly outside of class hours. Any scheduling or payment questions should be directed to Scholar Gateway through WhatsApp +852 5177 7324 or email at office@scholar-gateway.com.

  3. Teachers at Scholar Gateway are not permitted to provide personal contact information to, or interact with, children, their parents, or guardians outside of Scholar Gateway grounds. Teachers who resign or leave Scholar Gateway for any reason are not authorised to contact or teach lessons to Scholar Gateway students for 12 months after leaving. Please approach our office if you need to contact an instructor for any reason.

  4. To ensure that lessons are productive, students and parents should communicate clearly and early with Scholar Gateway administration if there are specific areas requiring special attention — at the time of enrolling, or at least one working day before the start of the class. If information is not given in a timely manner, Scholar Gateway cannot be held liable for a lesson failing to meet expectations. Our teachers are happy to modify instruction to meet a certain curriculum or materials, create lessons, and reinforce fundamental topics using carefully chosen resources.

  5. Scholar Gateway assigns students to teaching schedules based on confirmation by payment. We maintain the right to release to other students, or cancel, any offer of lessons that has only been reserved orally or for which the payment confirmation date has passed. Payment in full must be received before the deadline. All lesson inquiries and reservations should be sent to the office. Students and parents should check their emails frequently for announcements and alerts.

  6. Whether group or individual private lessons, Scholar Gateway does not accept lesson bookings on a “trial” or lesson-by-lesson basis. To gain the most advantage from any specific topic, students should attend at least one month of lessons. Students must enrol in all lessons for a specific month or subject, depending on the lesson type, subject to availability.

  7. A minimum of two students is necessary for group lessons to begin. Scholar Gateway retains the right to cancel a lesson if there are insufficient enrolments, in which case the student will be offered a transfer to another suitable lesson or enrolment in a private session for the price difference. If no suitable lesson is available, refunds will be offered. Scholar Gateway assigns teachers to lessons at its discretion, based on lesson demand and instructor availability.

  8. Payment for booked lessons must be settled by the stated deadline. Where lessons are booked to be taken in the same month, payment is required within normal business hours on the day of booking. Where lessons are booked on a “same-day” basis, a HKD 200 surcharge applies. Scholar Gateway does not provide refunds where a student cancels or withdraws from booked lessons, but will apply any unused credit balance towards alternative lessons in the same calendar month.

  9. Regular timeslots will be reserved only if a student books at least four lessons with the same teacher in the same month. Regular timeslots may be changed based on lesson arrangement demands during peak and holiday seasons.

  10. During summer term, lesson fees are calculated based on the grade / level the student will enter in the following academic year.

  11. Students enrolled in a group lesson should have agreed on a schedule. If one or more students drop out, the remaining student will receive the lesson as a private individual lesson, which may result in a price difference.

  12. Lessons scheduled through Scholar Gateway are personal to the student and non-transferable. Switching classes with other students, whether friends or family members, is not authorised. Scholar Gateway retains the right to terminate a student's enrolment at any moment due to late payment or disruptive behaviour in class.

  13. Scholar Gateway does not provide make-up classes or refunds for missed classes due to a student's inability to attend for reasons such as school activities, field trips, or schedule conflicts. For sickness, a make-up is only offered if a doctor's note is provided and the make-up is rescheduled to an available slot within 3 calendar days of the corresponding lesson. In the event of illness, students must notify Scholar Gateway by phone or email at least 12 hours before the planned class. If a student does not show up within 15 minutes of the lesson's start, the lesson is considered cancelled and charged in full.

  14. Rescheduling: with 24 hours' notice — free; with 12–24 hours' notice — HKD 100 per lesson day; with 12 hours or less — not available (lesson forfeited). Rescheduling is only available on lesson days and must be verified with Scholar Gateway. Scholar Gateway determines the rescheduled lesson's time, date and teacher. If the initial lesson price is more than the rescheduled lesson fee, the difference is forfeited. Rescheduled lessons must be validated the same day the request was made and must occur in the same month as the original lesson.

  15. Scholar Gateway shall not be responsible for any failure to perform the whole or any portion of an online lesson as a consequence of a disruption in internet service or malfunctioning third-party hardware or software.

  16. Assignments are an important component of a student's learning experience, and the quantity of homework assigned in each session is chosen by the teachers. All tasks, including required readings and homework, are expected to be completed by students. Parents and guardians are responsible for ensuring their children do their homework at home. Scholar Gateway invites students to allow reference to their work for educational or promotional purposes.

  17. Where students' work incorporates elements from Scholar Gateway or other publicly available resources, this must be recognised with proper citations. Plagiarism is a major violation of academic integrity and Scholar Gateway guidelines. Students whose work is discovered to include plagiarised content will face severe repercussions. Scholar Gateway is not liable for any consequences resulting from student plagiarism.

  18. Classes will be cancelled if a Tropical Cyclone Warning Signal of 8 or higher is issued, or if the Black Rainstorm Warning is issued. Classes will resume two hours after the signal is decreased to a lower signal, or if the Black Rainstorm Warning is cancelled or replaced by the Amber or Red Rainstorm Warning within regular operating hours. There will be no make-up sessions or reimbursements due to weather or other acts of nature beyond our control.

  19. If the Centre issues a refund, Scholar Gateway retains the right to deduct a 5% administrative fee from the refund amount to cover clerical, administrative, and banking costs associated with the transaction(s).

  20. Scholar Gateway retains the right to interrupt courses for the safety of students and parents in the event of an unexpected or emergency scenario. Affected lessons will be rescheduled within the same month.

  21. Scholar Gateway may switch lesson modes from in-person to online learning to guarantee student safety amid unexpected situations. Students are required to attend the regular classes in such instances, and no make-up lessons will be offered for absentees.

  22. CCTV cameras are in operation in the centre for safety, security, and other pertinent purposes, including but not limited to the customer area, waiting areas, classrooms, hallways, and study spaces (including online lessons). Scholar Gateway will not be held liable for any physical injuries, accidents, losses, or damages, whether to personal property and effects or to computer hardware or computer data, sustained by any student while on Scholar Gateway premises or while connected to Scholar Gateway computer networks.

  23. To ensure quality of lessons, lessons may be observed or recorded.

  24. Scholar Gateway shall not be liable for any direct or indirect loss, damages, penalties, or expenditure incurred by parents and students as a result of, or in any way related to, Scholar Gateway.

  25. Scholar Gateway may occasionally take photographs and videos during lessons for educational or promotional purposes, in which case Scholar Gateway maintains all rights to the photos and recordings.

  26. These rules shall be regulated and construed in line with the laws of the Hong Kong Special Administrative Region (HKSAR). Disputes arising out of or in connection with this legal notice will be resolved exclusively by the courts of the Hong Kong SAR.

  27. Scholar Gateway retains the right to change its rules at any time and without notice. If there is a conflict between the English and Chinese translations, the English version will take precedence.
